Minutes from June 2002 Meeting

TimT called the meeting to order at 6:35. There were 15 active members and three applicants/guests in attendance. Two more active members arrived towards the very end of the meeting but after the vote.

President’s Report:

Our first order of business was to vote on a new Vice President and a change to the by laws decreasing a “quorum” from 13 to 9. Following are the election results:

Vice President’s Report:

None, but NOW we have a Vice President! CONGRATULATIONS Don Hudson!!

Treasurer’s Report:

Lee reported that we have approximately $300 in our account, but a couple of tax payments need to be made. He will be taking care of that shortly. Also, he has stickers and T-shirts for sale after the meeting.

Secretary’s Report:

Melissa reminded everyone to sign the attendance sheet going around.

Board Member Reports:

Pete was not present; therefore there was no Land Use Report.

Brian had nothing to report.

Chris let everyone know that his computer has been infected with a nasty virus, so he has not been able to read/post to the board.

Hunter reminded everyone about t-shirts and stickers for sale after the meeting.

Matt, our Activity Coordinator announced that due to lack of interest/participation, the trip to Tellico in July was going to be cancelled. The trip to Hatteras in August will remain on the calendar. Also, he reminded us that Big Dogs Summer Slam is the first weekend in August.

New Business:

Proposed Change to Article 5 Dues

Active membership dues- Individual Active dues are $26. Family Active dues are $32 for a period of 1 year.
CHANGE TO: Individual Active dues are $35 for a period of 1 year. Family Active dues are $40 for a period of 1 year.

Supporting membership dues- Supporting membership dues are $20 for a period of 1 year.
CHANGE TO: Supporting membership dues are $30 for a period of 1 year.

Distant membership dues- Distant membership dues are $14 for a period of 1 year.
CHANGE TO: Distant membership dues are $20 for a period of 1 year.

Proposed Change to Article 4 Membership

Remove the text relating to “membership packet” and “membership card” (we never have had any kind of membership packet or card).

Current wording:

Active Memberships will receive a membership packet to include access to the Club private message board and other items (sticker, membership card) to be determined by the general Active Membership. Both Individual and Family Active Memberships will receive a single V4WDA/UFWDA membership.

Supporting Members will receive a membership packet to include access to the Club private message board and other items (sticker, membership card) to be determined by the general Active Membership. Supporting Memberships will receive a single V4WDA/UFWDA membership.

Distant Members will receive a membership packet consisting of access to the Club private message board, and other items (sticker, membership card) to be determined by the Active membership. Distant Members do NOT receive V4WDA/UFWDA memberships.

Proposed Change to Article 8, Administration of Officers

Current wording:

There will be no paid positions within the Mid-Atlantic Jeepers. All Officers and Board Members are volunteers.

The officers of the Mid-Atlantic Jeepers shall consist of a President, Vice President, Secretary, Treasurer and Land Use Officer and shall be known as the Executive Committee. It shall be their duty to draw up an agenda for all Board and membership meetings. It shall be their further duty to assume the functions of the Board of Directors in cases of emergency.

The Board of Directors (BOD) shall consist of the members of the Executive Committee, and three Directors elected by the membership. Each Director shall be assigned one or more committees as needed and it shall be his/her duty to represent such committees on the Board. Further duties of the Directors shall be to conduct the day-to-day business, to take such actions as might best fulfill the aims of this organization, and to audit the books of the previous administration.

No Officer or Director shall serve in the capacity of Officer or Director for more than two successive terms. Serving as an Officer or Director for part of a term due to vacancy shall not constitute a term. Former Officers and Directors who have not held office for one year may again run for office.

No officer shall be added to the club except by the vote of the majority of the entire membership of the club.

Proposed changes:

Eliminate the Land Use Officer as an elected position on the Executive Committee and make it a BOD-appointed position.

An Officer or Director may serve in the capacity of Officer or Director for more than two successive terms, but may NOT serve in the SAME POSITION for more than two successive terms. Serving as an Officer or Director for part of a term due to vacancy shall not constitute a term.

No officer shall be added to the club except by the vote of the majority of the entire membership of the club.
